Summary

We are looking for a talented, innovated, detail orientated, Executive Assistant/ Office Manager to work side by side with our CEO, and help manage office responsibilities. The right candidate will have the ability to work independently as well. This position is full-time Monday through Friday from 9:00 am to 6:00 pm with the possibility of working extended hours and weekends as needed. The work environment is innovative and embraces an entrepreneurial and career-minded team of individuals in a business-casual atmosphere.

Key Functional Areas of Responsibility
  • Manage and support the CEO while maintaining office management duties.
  • Triage phone calls, provide a detailed daily schedule and maintain workflow.
  • Record minutes for the CEO while attending meetings and phone calls to provide follow up activity on behalf of the CEO.
  • Proactively manage and coordinate CEO calendar with meetings, tasks, and follow-ups.
  • Coordinate support activities for the Senior Executive team in regards to key events and travel arrangements.
  • Deliver on ad-hoc projects as requested by CEO.
  • Prepare weekly, monthly, and quarterly reports when requested.
  • Review and disseminate information received from other departments and external sources to ensure important items are routed & communicated to the proper individuals in an expedient manner.
  • Manager office supplies/inventory and order necessary supplies when needed.
  • Keep the common area clean and stocked with drinks and snacks.
  • Performs other related duties as required to accomplish the objectives of the position.
Professional Skills & Qualifications
  • 2-5 years of experience as an Executive/Personal Assistant/Office Management
  • Bachelor’s preferred
  • Excellent communication – Both Written and Verbal
  • Professionalism
  • Ability to work in a fast-paced environment
  • Advanced Telephone skills
  • Knowledge of Microsoft Office (Word, Excel, and PowerPoint)
  • Advance Excel skills preferred
  • Must be enthusiastic and match corporate culture
  • Ability to think on your feet and provide efficient solutions
